The Vilcek Foundation is seeking an IT Assistant to lead day-to-day support of the foundation’s Salesforce database, knowledge management practices, and digital systems, while also supporting core information technology services across the organization. This position is designed to strengthen internal data operations, user support, and technology infrastructure, working under the supervision and direction of the Director of Digital.
The ideal candidate is a skilled technology professional with a strong support mindset, committed to reliable systems, data stewardship, and user assistance. Responsibilities include maintaining IT systems, managing the Salesforce database, and providing technical support to staff. The candidate should excel in help desk support, with experience in relational databases, cybersecurity, and project coordination, and thrive in a collaborative, mission-driven environment.

Responsibilities
Salesforce and Knowledge Management
- Serve as an administrator and day-to-day point person of the foundation’s Salesforce database, maintaining accurate, current contact, organizational, and program records.
- Create, maintain, and optimize Salesforce reports and dashboards to support leadership, programs, and operations.
- Support Salesforce-based processes for grants, prizes, communications, campaigns, and institutional knowledge management.
- Provide training, documentation, and ongoing user support for Salesforce and knowledge management tools.
- Serve as the liaison with Salesforce consultants, vendors, and partners to coordinate system support, security updates, and platform enhancements.
Operational Support
- Serve as the primary point of contact for staff technical support, providing timely assistance and training.
- Manage the help desk system, logging, prioritizing, and resolving support tickets and requests across all intake channels.
- Install, configure, test, maintain, monitor, and troubleshoot end-user workstations, cloud applications, software, and networked equipment.
- Maintain and audit an accurate inventory of all technology assets and equipment.
- Build, test, and deploy system configurations across supported platforms and operating systems.
- Assist in documenting technology budgets, subscriptions, renewals, and contract billing.
Information Technology
- Assist with IT strategy and capacity planning to meet future technology and infrastructure needs.
- Support the development, documentation, and execution of business continuity and disaster recovery plans and respond to incidents in accordance with established protocols.
- Support the implementation of new systems, platforms, and hardware installations, coordinating with internal stakeholders and vendors as needed.
- Maintain current knowledge of hardware, software, and cloud subscriptions, and assist with device and application provisioning, onboarding, and offboarding.
- Track and document the full hardware lifecycle, including procurement, deployment, maintenance, repair, and retirement.
- Recommend, schedule, and perform device and peripheral upgrades, repairs, and replacements, and coordinate with external support providers when required.
Other General Requirements
- All staff members are expected to provide general support to the President as needed.
- All staff members are expected to ensure that all forms of communication are handled in a professional and accurate manner.
- All staff members are expected to perform additional duties as assigned.
Minimum Qualifications
- Bachelor’s degree in a related field or equivalent professional experience.
- Minimum of two (2) years of hands-on experience administering and supporting Salesforce in a professional or nonprofit environment, including experience with Salesforce Nonprofit Cloud and the Grantmaking platform.
- Minimum of two (2) years of experience in an IT support role within an environment primarily using Apple products and operating systems.
Preferred Qualifications
- Proficiency with Apple products and operating systems, including macOS, iPadOS, and iOS, and experience administering cloud-based applications and services.
- Familiarity with systems and services such as Jamf, Freshservice, Synology, Savant, Apple Business Manager, CrashPlan, Amazon Web Services, Cortex by Orange Logic, Microsoft Office 365, Google Workspace for Nonprofits, Dropbox Teams, and Adobe Creative Cloud.
Knowledge and Skills
- Excellent communication and interpersonal skills, with the ability to train and support users at varying levels of technical proficiency.
- Ability to manage external vendors and technical partners, including coordinating support, updates, and system enhancements.
- Strong analytical, organizational, and documentation skills, with attention to data quality and process improvement.
- Demonstrated ability to learn and support new software platforms quickly and effectively.
- Ability to work independently and collaboratively in a team-oriented, mission-driven environment.
- A strong interest in and alignment with the Vilcek Foundation’s mission.
Physical Requirements
This position is primarily a sedentary role performed in an office environment. The individual in this role may be required to move throughout the office to support staff and to access files, equipment, and technology resources. The position may occasionally require lifting, moving, and setting up IT and office equipment weighing up to 50 pounds.
